Job Overview

The Alberta Wildlife Federation is Alberta’s largest conservation organization headquartered in Edmonton, Alberta. The Administrative Assistant position is essential to the efficient and effective functioning of the office. This position interacts with the public, members, and partners. As the first point of contact for many to the organization we are seeking a welcoming, enthusiastic and well organized individual to join our team.

Job Description:

  • Office management including managing office supplies and equipment, handling incoming and outgoing mail, packages, and couriers.

  • Calendar management including scheduling and coordinating appointments, meetings, travel, and conferences.

  • Compose and prepare reports, memos, letters, presentations

  • Provides administrative support for projects and initiatives

  • Organize and maintain office filing systems (electronic and paper)

  • Data entry into databases, spreadsheets, and documents

  • Recording secretary for meetings which includes attendance at meetings, drafting and circulating documents for review and approval

  • Coordinate event registration process and manage the administrative tasks required to host events (ie. Prepare name badges, attendance lists, event check-in, etc.)

  • Prepare and process accounts receivable deposits

  • Sell memberships, licenses, and products in the office and at events which includes cash handling and recording of sales

  • Prepare weekly, monthly, and quarterly workplans

  • Follow and adhere to safe work practices, policies, and procedures

  • Coordinate with office support contractors (HVAC, Cleaning, etc.)

  • Other duties as assigned

Skills:

  • Experience using Microsoft 365

  • Energetic and outgoing

  • Collaborative

  • Organized

  • Excellent written and verbal ability to write and communicate well in presentations, emails, staff and member interactions

  • Experience with setting up, organizing, and maintaining office systems

Qualifications:

  • High School Diploma

  • Class 5 driver’s license

Note the successful candidate will be required to provide a clear criminal record check for this position in addition to a drivers abstract that shows no suspensions.
